The Society for Information Display (“SID”, “we”, “our”, or “us”) is a not-for-profit professional membership association with chapters around the world comprised of the top scientists, engineers, corporate researchers, and business people of the display industry. We use our websites located at sid.org, displayweek.org, and informationdisplay.org (collectively, the “Sites”) primarily to promote our in-person and online trade events for the display industry (“Events”), to promote our display industry insight offerings through providing opportunities to subscribe to our mailing list and various online publications (“ePublications”), promote our mobile application to help you navigate our Events, and provide members with other benefits or opportunities associated with their SID membership (collectively, we call these our “Services”). We do not knowingly attempt to solicit or receive information from children under 16 and if we become aware that we have accidentally collected the information of children, we will delete it.


We understand that you are aware of and care about your own personal privacy interests, and we take that seriously. This Privacy Notice describes SID’s policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies. This Privacy Notice applies to our Sites.

Personal information you give to us directly

SID collects and uses your personal information differently depending on how you interact with our Sites and Services. You can enjoy many of SID’s services without giving us your personal data. Much of the information on our Site is available even to those who are not SID members. You can even enter only the minimal amount of information (name and contact information) to your SID member profile if you wish, and you can edit your profile at any time. Some personal information is necessary so that SID can supply you with the services you have purchased or requested, and to authenticate you so that we know it is you and not someone else. You may manage your SID subscriptions and you may opt-in or opt-out of receiving marketing communication at any time. Below is a summary of the primary ways SID collects and uses the information you provide us directly:

  • Member Profile Information: When you become an SID member, we collect information about you including your name, employer’s name, address, email address, phone number, as well as any other information about your background that you voluntarily choose to provide in your profile. Members also have the option to provide additional information in their membership profile, such as information about their educational background, number of years in the industry, and the like. When we process your Member Profile Information in relation to, or to facilitate the provision of our Services, we do so in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it is necessary to perform contractual obligations to you.
     
  • Events:
    • Attendee Event Registration: SID hosts many Events throughout the year, including include in-person conferences like Eurodisplay Europe and IMID South Korea, which we will require you to register for in order to attend. If you register for one of our Events and are a member, we will access your Member Profile Information as part of the registration process. If you are not a member and you register for one of our Events, we will collect your name, employer’s name, address, email address, phone number, as well as any other information about your background that you voluntarily choose to provide in your registration form. Regardless of whether you are a member or not, when you register for our Events as an attendee, we process this information primarily in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it is necessary to perform contractual obligations to you.
    • Event Presenters: If you are a presenter at one of our events, we will collect information about you including your name, employer and contact information, and photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances. With respect to residents in countries where a lawful basis for processing is required, SID relies on a legitimate interest basis for collecting, storing and processing this information that is not outweighed by your data protection rights and interests.
    • Event Participation Information: We keep a record of attendees’ and presenters’ participation in SID Events in order help SID understand our users’ needs and interests to improve our Services and our users’ experience. We process your information in this way primarily in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it satisfies our legitimate interest in improving our Services that is not outweighed by your data protection rights and interests.
       
  • Publications: When you request to subscribe to any of SID’s Publications, including a monthly Journal of SID, Information Display magazine, and our annual Digest of Technical Papers, which is presented at our annual spring Display Week Symposium and Exhibition, we will collect your name, an email address, and the country in which you live (for members, this information will come from your Member Profile Information). Regardless of whether you are a member or not, when you subscribe to our Events, we process this information primarily in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it is necessary to perform contractual obligations to you.
     
  • Surveys: We also conduct surveys that we use to produce original research on the privacy profession. We do not track individuals but look at information in the aggregate only. Participation in surveys is voluntary and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is your consent.
     
  • Training: If you participate in SID training, you may sign up directly through SID in which case we collect your name and contact information directly from you. You may, alternatively, sign up for training – or be signed up for training – by or through a third party such as one of our training partners, or your own employer. We may also use independent contractors to conduct the training and third parties to provide the training venue. Your personal information will be stored in our database (hosted by a cloud service provider) and may also be shared with our training partners, trainers, and/or the venue hosting the event (to verify your identity when you arrive). SID uses a third-party data hosting service to transfer the information from training partners to SID. SID’s training partners, trainers, training venue hosts, and data transfer hosts have agreed not to share your information with others and not to use your personal information other than to provide you with SID products and services. SID relies on fulfillment of a contract to process personal data associated with providing training services. We process this information primarily in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it is necessary to perform contractual obligations to you.
     
  • When You Contact SID: If you contact us, we may retain such correspondence and the information contained in it and use it to respond to your inquiry. We process this information primarily in order to provide the services you are requesting and with respect to residents in countries where a lawful basis for processing is required, the lawful basis for our processing is that it is necessary to perform contractual obligations to you.
     
  • Marketing Messages: If you provide your information to SID in any of the ways mentioned above, we may also process your information to communicate with you about SID, its Service offerings, or the service offerings of Event sponsors or exhibitors for Events you have attended (unless you have indicated to us that you do not wish to receive such information). We do so to provide you with information about us, our services, and other services related to the display industry that you may be interested in, and with respect to European residents, the lawful basis for our processing is our legitimate interests, namely, to provide you with information marketing our Services that is not overridden by your interests or fundamental rights and freedoms. Please see section 6 regarding your choices and right to opt out of SID’s marketing messages. You may exercise your right to opt out of marketing messages from Event exhibitors and sponsors in accordance with their respective privacy policies.
     
  • Compliance: If you provide your information to SID in any of the ways mentioned above, we may also process your information to meet our other compliance and regulatory duties, for example to retain certain records.
     
  • Payment card information: You may choose to purchase goods or services from SID using a payment card. Typically, payment card information is provided directly by users, via the SID Sites, into the PCI/DSS-compliant payment processing service to which SID subscribes, and SID does not, itself, process or store the card information. Occasionally, members or customers ask SID employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which SID subscribes. We strongly encourage you not to submit this information by email. When SID employees receive payment card information from customers or members by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.
     

Personal information we get from third parties.

Information We Collect Automatically through your Use of our Sites.

From time to time, SID receives personal information about individuals from third parties. This may happen if your employer is a corporate member of SID and signs you up for an Event or membership. One of our third-party training partners may also share your personal information with SID when you sign up for training, certification or membership through that training partner.

As is true of most other websites, SID’s Sites collect certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of SID’s website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences. SID has a legitimate interest in understanding how members, customers and potential customers use its Sites that is not outweighed by your rights. This assists SID with providing more relevant products and services, with communicating value to our sponsors and corporate members, and with providing appropriate staffing to meet member and customer needs.
Where permitted by applicable law, we may also use anonymous, de-identified, or aggregate information that does not reasonably identify you for any purpose.

2. Cookies and web beacons

A cookie is a small text file that a website saves on your computer or mobile device when you visit the website. Cookies are then sent back to the originating website on each subsequent visit, or to another website that recognizes that cookie, to develop a record of the user’s online activity. Cookies on this site may be delivered in a first-party (set by the SID Sites) or third-party (set by another website) context and may also be set in association with emails you receive from us.
Cookies help us enhance your experience when using the Sites. They also help us understand how people use our Sites, such as which pages are most popular, so that we can better serve our site users and members.

a. Essential Cookies.These cookies are essential for enabling user movement around our Sites and providing access to features such as your profile and purchases, member-only resources, and other secure areas of the Sites. These cookies do not gather information about you that could be used for marketing purposes and do not remember where you have been on the internet. This category of cookies cannot be disabled. b. Analytics Cookies. We use Google Analytics cookies to collect information about how visitors use our website. These cookies collect information in the aggregate to give us insight into how our website is being used. c. Third Party Websites' Cookies. When using our website, you may be directed to other websites for such activities as surveys, to make payment in currency other than U.S. dollars, or for job applications. These websites may use their own cookies. We do not have control over the placement of cookies by other websites you visit, even if you are directed to them from our website.

d. Do not track SID tracks users when they cross from our primary public website (sid.org) to our “Member” portion of the site by logging in with their user name and password, as well as when visitors to our website enter through a marketing landing page. SID also keeps a record of third party websites accessed when a user is on an SID site and clicks on a hyperlink. But SID does not track users to subsequent sites and does not serve targeted advertising to them. SID does not, therefore, respond to Do Not Track (DNT) signals.

3. When and how we share information with others

In general, we only share your information as follows:

a. Member Directory: SID makes member information available through SID Member Directory to other SID members using this Site. Members are invited to opt-in to having their information shared in the Member Directory.

b. SID Chapter Chairs:Members often participate in local chapter and student branch meetings. These meetings are organized by volunteers (chapter chairs) and take place at various locations that donate their space for the meetings. SID collects registration information from SID members and their guests, which it shares with the chapter chairs and location hosts for purposes of verifying registration and to ensure only registered guests are allowed attendance.

c. Event Sponsors: Some of our Events are sponsored. Unless restricted by applicable law, SID provides an attendee list to sponsors, co-sponsors and exhibitors of our Events, who may use your information as described in Section 1. Otherwise, SID does not sell or rent our event attendee lists for email campaigns or mailing campaigns.

d. Online Event Exhibitors: When you enter a virtual spaces, zone or room such as an exhibition booth, your personal information may be shared with the sponsor and exhibitor to allow them to engage with you subject to this Privacy Notice.

e. In-Person Event Exhibitors:Exhibitors at SID events may wish to scan your badge so they can contact you with more information. SID uses [Expo Logic] to provide badge scanning services to exhibitors who request it. By allowing an exhibitor to scan your badge you are consenting to have [Expo Logic] provide the exhibitor with your contact information, and thereafter you may be contacted by the exhibitor post-event. If you do not wish the exhibitor to contact you, please communicate this directly with the exhibitor at the event or thereafter.

f. To Our Service Providers:We may share your information with third parties who provide services to us or to whom we outsource certain services, such as website analytics companies, hosting and cloud computing service providers, and payment processors. Our service providers only access, process or store your information in the course of performing their duties to us.

g. Business Transactions: We may share your information in connection with a corporate merger, consolidation, restructuring, sale of certain of our ownership interests, assets, or both, or other corporate change, including without limitation, during the course of any due diligence process.

h. Required By Law:We may share your information when we are required to do so by law, such as to comply with a subpoena, bankruptcy proceedings, or similar legal process, or in response to lawful requests by public authorities.

i. Compliance: We share information when we believe disclosure is appropriate in connection with efforts to investigate, prevent, or take other action regarding illegal activity, suspected fraud or other wrongdoing; to protect and defend the rights, property or safety of our company, our users, our employees, or others; to comply with applicable law or cooperate with law enforcement; or to enforce our Services’ terms and conditions or other agreements or policies.


If we would like to share your personal information for any purposes other than those described, or as otherwise permitted under applicable law, we will obtain your prior consent.
We may also gather aggregated data about our members and Site visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers and/or other third parties for marketing or promotional purposes.

4. Hyperlinks to Third Party Websites

SID Sites uses interfaces with social media sites such as Facebook, LinkedIn, Twitter and others. If you choose to "like" or share information from SID Sites through these services, you should review the privacy policy of that service. If you are a member of a social media site, the interfaces may allow the social media site to connect your site visit to your personal data.

5. Storage and Processing of your Personal Information in the U.S.

SID Sites uses interfaces with social media sites such as Facebook, LinkedIn, Twitter and others. If you choose to "like" or share information from SID Sites through these services, you should review the privacy policy of that service. If you are a member of a social media site, the interfaces may allow the social media site to connect your site visit to your personal data.

6. Your Choices and Rights

You have several choices and rights with respect to how we use and disclose your information:

a. Information You Provide: With respect to the collection of your information, if you do not want your information collected, please do not submit it to us. Members may edit their Member Profile Information at any time to change, add, or remove personal information. If you have already submitted information and would like to review, correct or remove it from our records, please contact us at office@sid.org.

b. Unsubscribing from Publications: You may unsubscribe from receiving our Publications at any time. Please note that if you have set your browser to block cookies, this may have an impact on your ability to unsubscribe. If you have any difficulties managing your email or other communication preferences with SID, please contact us at office@sid.org.

c. Marketing Messages: SID may send you marketing communications, about our services that may interest you. You can opt out of our marketing communications at any time by selecting the “unsubscribe” link in the e-mail or contacting us at office@sid.org. Please note that some non-marketing communications are not subject to general opt-out, such as communications relating to services we are providing you, sales transactions, software updates and other support related information, patches and fixes.

d. Cookies: If you wish to disable cookies, you can set your browser not to accept cookies as described in the section 2.

Rights for Nevada Residents
In addition, if you are a resident of Nevada, you may have the right to opt out of the sale of certain categories of personal information. As of the effective date of this Privacy Notice, we do not sell any type of information covered by that law. However, if you are a Nevada resident who would like to opt-out of any future sale of your information in the unlikely event we change our practices, you may do so by contacting us at office@sid.org. Your request must include your full name, street address, city, state, zip code, and an email address so that we can contact you if needed to verify your identity and the authenticity of the request.

Rights for UK, Swiss and European Residents
In addition, if you are a resident of the UK, Swiss and European, you have the following rights:


a. Right of Access:: Find out if we use your personal data, access your personal data and receive copies of the personal data that we collect and retain about you.

b. Right to Rectification: Access your personal data and have it corrected or amended if it is inaccurate or incomplete.

c. Right to Erasure: Request your personal data be deleted or restricted under certain circumstances, such as where SID has no compelling reason to keep using it. However, please bear in mind that this right is not absolute and there may be exceptions based on the circumstances of your request.

d. Right to Restriction of Processing: If you believe your personal data is inaccurate, unlawful, no longer necessary for our business purposes, or if you object to our processing of your personal data, you also have the right to instruct us to restrict the processing of your data pending our investigation and/or verification of your claim.

e. Right to Data Portability: Obtain a transferable copy of some of your personal data which can be transferred to another provider when the personal data was processed based on your consent.

f. Right to Object: Object to SID’s processing of your personal data based on SID’s legitimate interest or legal and regulatory obligations as further set out Section 1, which SID will review as to whether we have a prevailing interest or legal and regulatory obligations in processing your personal data.

In addition, if we process any of your personal data based on your consent, you have the right to withdraw your consent at any time without penalty.
If you wish to exercise any of these rights, or raise a complaint on how we have handled your personal data, please contact us at office@sid.org. If you are not satisfied with our response, or believe we are processing your personal data in violation of the law, you have the right to lodge a complaint with your local data protection authority.

7. Security of your information

To help protect the privacy of data and personally identifiable information you transmit through use of this Site, we maintain physical, technical and administrative safeguards. We update and test our security technology on an ongoing basis. We restrict access to your personal data to those employees who need to know that information to provide benefits or services to you. In addition, we train our employees about the importance of confidentiality and maintaining the privacy and security of your information. We commit to taking appropriate disciplinary measures to enforce our employees' privacy responsibilities. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure (for example, if you feel that the security of any account you might have with us has been compromised), please immediately notify us of the problem by contacting us in accordance with the contact information section below.

8. Data storage and retention

Your personal data is stored by SID on its servers, and on the servers of the cloud-based database management services SID engages, located in the United States. SID retains data for the duration of the customer’s or member’s business relationship with SID and for a period of time thereafter to allow members to recover accounts if they decide to renew, to analyze the data for SID’s own operations, and for historical and archiving purposes associated with SID’s history as a membership association. 9. Changes and updates to the Privacy Notice

By using this Site, you agree to the terms and conditions contained in this Privacy Notice and Terms and Conditions and/or any other agreement that we might have with you. If you do not agree to any of these terms and conditions, you should not use this Site or any SID benefits or services. You agree that any dispute over privacy or the terms contained in this Privacy Notice and Terms and Conditions, or any other agreement we have with you, will be governed by the laws of the State of California. You also agree to arbitrate such disputes in California, and to abide by any limitation on damages contained in any agreement we may have with you.
As our organization, membership and benefits change from time to time, this Privacy Notice and Terms and Conditions is expected to change as well. We reserve the right to amend the Privacy Notice and Terms and Conditions at any time, for any reason, without notice to you, other than the posting of the amended Privacy Notice and Terms and Conditions at this Site. We may e-mail periodic reminders of our notices and terms and conditions and will e-mail SID members of material changes thereto, but you should check our Site frequently to see the current Privacy Notice and Terms and Conditions that is in effect and any changes that may have been made to it. The provisions contained herein supersede all previous notices or statements regarding our privacy practices and the terms and conditions that govern the use of this Site.
